This policy explains what information OTMO collects when you use this website or engage us for services, how we use it, and the choices you have. We have written it in plain language on purpose.

01Information we collect

When you contact us by email or phone, we receive whatever you choose to send us — typically your name, contact details and a description of your enquiry. This website does not contain a contact form and does not ask you to create an account. We collect basic, aggregated technical information such as pages visited and approximate region, which we use only to understand whether the site is working.

02How we use information

We use the information you send us to answer your enquiry, deliver a consultation or service you have asked for, and keep records required for the engagement. We do not sell your information, we do not share it with third parties for their marketing, and we do not send unsolicited marketing to people who have simply contacted us with a question.

03Client data during an engagement

When we deliver a project, we may need access to your systems and data. That access is scoped in writing before work begins, limited to what the project genuinely requires, and revoked on completion. Your data remains yours throughout. Where data is processed or stored is agreed with you during the design step, before anything is built.

04Cookies and analytics

This website uses only what is necessary to function — including remembering your language preference. We do not use advertising cookies, and we do not track you across other websites.

05The AI assistant on this site

The assistant on this website answers questions about OTMO from a fixed set of information about our services and helps you navigate the site. It is not a service we sell. When you send a message, it is passed to our assistant service and on to external AI providers to generate a reply. We do not store transcripts in our databases and do not use them to train any model. The most recent messages in a session are held briefly in the service's memory to follow context, and are discarded when the session ends or the service restarts. The assistant does not ask for personal details in conversation and directs you to the contact form when they are needed. We recommend not sharing sensitive information in the chat.

06Retention

We keep enquiry correspondence for as long as needed to answer it and for a reasonable period afterwards in case you come back to us. Engagement records are kept for the period required by applicable law and our contractual obligations, then deleted.

07Your rights

You can ask us what information we hold about you, ask us to correct it, or ask us to delete it. Email Support@otmo.me and we will respond within a reasonable period. If we cannot delete something because we are legally required to keep it, we will tell you what and why.

08Security

We apply access controls, encryption in transit, and the principle of least privilege to information we hold. No system is perfect, and we will not claim otherwise — if an incident affects your information, we will tell you.

09Changes to this policy

If we change this policy, we will update the date at the top. Material changes affecting existing clients will be communicated directly rather than left for you to notice.
